Our brains simply respond better to information if it’s presented to us in visual form. One example: my friend’s cleaning business, which applies a smart information sharing strategy to keep things clean (pun intended).
Colors + whiteboard = clarity (= increased happiness!)
My friend, who runs a cleaning business, recently told me about the system they have in place. Their cleaning teams usually consist of four to five people. Before they head to their work location for the day, they look at the whiteboard that indicates each person’s task using colors.
A color is assigned to each room and storage cabinet. For example, if the bathroom is yellow on the whiteboard, the cleaning supplies required can be found in the yellow storage cabinet. There’s also a color-coded checklist, so employees can check the colored box(es) once they’ve completed their task(s).
As my friend tells me, this system works incredibly well. Employees know exactly what to do, which makes for an efficient day. They’re empowered with actionable, at-a-glance information, so they can properly organize their tasks and they’re less inclined to forget things. And since happy employees also make for happy customers, this is a win-win situation!
Various industries, one underlying principle
Of course, this is a great example of the effectiveness of Visual Management. Every organization should provide employees with a concise overview of actionable data — both at the team and individual level. Customer contact centers and corporate environments will benefit from the digital version of a whiteboard: a performance board. And they need an advanced information sharing strategy, so they’ll only share relevant (real-time!) information with each employee.
But the underlying principle is the same. Regardless of your industry, you should empower employees with the right information at all times. It will increase employee and customer satisfaction and help your organization thrive!
